Enroll and Exit People from a Class

Staff can enroll and/or exit one or more people (staff, students, and volunteers) from a class at once. Use this mass enroll/exit feature when a class ends or many students progress to a new class at the same time.

Important Notes:

  • Make sure attendance hours are up to date before exiting people.
  • When a class ends, all staff, volunteers, and students should be exited.
  • Once a teacher has been exited from a class, s/he will no longer be able to add student attendance or manage the class or its students.

Enroll an individual student into a class

  1. On the appropriate Students, Staff or Volunteer tab, search for the name of the person you want to add to the class. Note their badge ID number.
  2. Go to the Classes tab. Search for and select the desired class name.
  3. On the Classes>Summary screen, click the Enroll button at the top of the roster to show the form.
    Date of Enrollment: type the date the person began attending class
    Enrollment Type: choose Staff, Student, or Volunteer from the menu
    Badge ID: enter the person’s badge ID number
    Enrollment End Date (optional): most programs leave this blank, but it can be used for short-term classes when the person’s enrollment end date is known

  4. Click Save

 

Enroll multiple people from one class to another

Selected people are copied from one class to another. Enrollment in the class being copied from is not changed. Note: teachers can enroll students into another class even when they are not the assigned teacher in the second class.

  • Class 1 has students you want to copy. Students will be copied from Class 1.
  • Class 2 is the destination class. Students will be copied into Class 2.
  1. From the Classes tab, select the name of Class 1.
  2. On the Classes>Summary tab, click the Enroll/Exit button at the top of the roster. From the Choose an Action menu on the next screen, select Enroll Only.

  3. Complete the form details - see pic below.
    Enroll Date: type the date the student(s) will start Class 2.
    Carry Over Enrollment Comments: check this box to copy class enrollment Comments from Class 1 to Class 2. There isn't a way to select and copy comments only for certain individuals - it's all or nothing.
    Class menu: select Class 2, the class to enroll the student(s) into.
    Staff, Volunteers, Students: choose the people to enroll from Class 1 into Class 2.
  4. Click the Process button and follow the prompts. People already enrolled in Class 2 are ignored during processing.
  5. Check the Classes>Summary roster for Class 2 to make sure the people were enrolled as expected.240719 Class Enroll multiple.jpg

 

Enroll people into another class; exit original class

Selected people are copied from one class to another. They are then exited from the original class.

  • Class 1 has students you want to copy. Students will be copied from Class 1, then exited from Class 1.
  • Class 2 is the destination class. Students will be copied into Class 2.
  1. From the Classes tab, select the name of Class 1.
  2. On the Classes>Summary tab, click the Enroll/Exit button at the top of the roster. From the Choose an Action menu, select Enroll and Exit.

  3. Complete the form details - see pic below.
    Enroll Date: the date the student(s) will start Class 2.
    Carry Over Enrollment Comments (optional): check this box to copy class enrollment Comments from Class 1 to Class 2. Applies to all students exited at this time.
    Class menu: select Class 2, the class to enroll the student(s) into.
    Exit Date🞲: type the date the students will be exited from Class 1.
    Exit Reason (optional): the selection will apply to all students exited at this time.
    Optional Comment (optional): Type a comment that will replace existing or blank enrollment Comments from Class 1, and will also appear on new enrollments for Class 2. Applies to all students exited at this time.
    Staff, Volunteers, Students: choose the people to enroll into Class 2 and exit from Class 1.
  4. Click the Process button; follow the prompts. People already enrolled in Class 2 are ignored during processing.
  5. Check the Classes>Summary roster for Classes 1 and 2 to make sure the enrollments and exits are correct.

🞲Exit Date:

Students will be exited when:

  • The exit date you type is on or before the Class End Date (the last day the class is open)

Students will NOT be exited when:

  • Their last attendance date is after the exit date you typed

  • Their class enrollment date is before the Class Start Date

 

Exit people from a class

  1. From the Classes tab, select the name of the class with people who will be exited.
  2. On the Classes>Summary tab, click the Enroll/Exit button at the top of the roster. From the Choose an Action menu, select Exit Only.

     
  3. Complete the form details - see pic below.
    Exit Date🞲: the people's last day of class. If the class is closing/closed, consider using the class End Date here. 
    Exit Reason (optional): the selection will apply to all students exited at this time.
    Optional Comment (optional): Type a comment that will replace existing or blank enrollment Comments. Applies to all students exited at this time
    Staff, Volunteers, Students: choose the people to exit.
  4. Click the Process button and follow the prompts.
  5. Check the Classes>Summary roster for the class to make sure the people were exited as expected.
