This article describes how to upload distance learning (DL) proxy hours onto SiD student records.
This optional feature adds time to student records based on a CSV file you create and upload.
- Uploaded proxy hours must be associated with a schedule/class ID.
- The CSV file can have up to 50 time rows for multiple students and classes.
- The ScheduleID column in the CSV file tells SiD in which class the hours were earned.
Note: staff must have an Admin level SiD login to upload hours.
Make sure students are enrolled in the DL class BEFORE uploading the hours! Then follow these important steps:
- Create a csv (comma separated values) file with the proxy hours.
- Upload the DL proxy hours into SiD.
- Review and confirm the imported results.
Step one: Create a CSV file with the proxy hours
Some DL platforms have reports to document student proxy hours. If a report is available, download it and use it as the source to create a csv file.
If your program keeps a spreadsheet of DL proxy hours, you can work from that.
- Create a spreadsheet with the following fields, in this order:
- ScheduleID (this is the ID number of the DL proxy class)
- BadgeID
- Student Name
- Attendance Date
- Hours
- Complete the student proxy hours spreadsheet cells.
Note: DO NOT use commas when entering student names! - Double check the following details:
- Schedule IDs, student badge ID/names, dates, and hours are correct.
- Students were enrolled in class on the day attendance was assigned.
- No daily hour amount exceeds 30 hours.
- The list contains no more than 50 data rows.
- Save the spreadsheet as a csv file.
Step two: Upload the DL time into SiD
- Log in to SiD. Click the Admin tab, then the Data Uploads link. On the next screen, choose Upload Distance Learning Hours.
- From the Distance Learning csv File Upload page, click the Choose File button. Then locate the csv file you downloaded/created.
- Carefully read and follow the 7 onscreen statements.
- Click the Import DL button. Heed the red type warnings to click the button only once!
Step three: Review and confirm the import results.
The imported test results will temporarily appear on the upload screen. When you navigate away from this screen, the import results will disappear. You will not be able to use the browser back button to see them again. Make a pdf for your reference so you can see if there were any problems with test entry onto the SiD student record.
- Click the Generate PDF button.
- Look for any tests that were rejected. They will appear in red type.
- Review the two names on each row to make sure they match.
- The first student name is the Student Name from the csv file.
- The second name, in parentheses, is the name of the SiD student that matches the badge ID given in the csv file.
- Spot check a few Students>Time screens. Make sure the DL proxy hours were entered correctly.
- If errors are found in the results, make corrections to the csv file. Then re-upload the hours to SiD.
- If hours were uploaded to the wrong student, immediately delete the incorrect hours from the SiD record.
