This article will help you understand Corrections and Community Corrections history items. It includes steps for how to add a new student history item or end an existing item.
First, let's define a couple of often-confused NRS terms used in SiD.
-
Correctional Program (aka "Corrections"): A program of ABE or ESL instruction for adult criminal offenders in correctional institutions. It includes local, state, and federal facilities.
Use the Program-NRS>Corrections history item for these students. -
Community Correctional Program: Student attends ABE programming offered at a community-based rehab facility or halfway house. For these students, use the Program-NRS>Community Corrections history item.
Make sure these categories are accurately marked and up to date. They are used for state and federal reporting tables, including employment data matching.
Topics in this article:
- Add a Corrections or Community Corrections history item
- End a Corrections or Community Corrections history item
Add a Corrections/Community Corrections history item
A Corrections or Community Corrections item can be selected on the new student intake form. The options appear in the NRS Program section.
It can also be added to an existing student record following these steps:
- Go to the Students>History tab.
- Complete the student history form.
- Effective Date: use the date the student began working in your ABE program's correctional setting.
- History Group: choose Program - NRS.
- History Item: choose the appropriate corrections option
- Optional Status: No need to select an item from this menu
- Click the Save button.
End a Corrections/Community Corrections history item
Give a Corrections history item an End Date when students leave the corrections system (not just ABE programming). Staff at MDE understand that it's tricky to know in some cases whether a student has been released or moved to another facility, and they encourage staff to do their best.
General rules for when to end a corrections history item
- Do not give the Program-NRS>Corrections item an End Date when people are moving to another correctional facility, such as leaving jail to go to prison
- Do end the Corrections item when people are released or go to Community Corrections (see the NRS definition above).
Special note about shared students
Shared students may show a corrections history item with no End Date. If your ABE program doesn't offer classes in a corrections setting, check the ABE Site History on the Students>Info screen. Look at the Last Contact column, and note when the last correctional attendance hours were earned - in the current or a prior NRS Program year.
How to End the History Item
You can add an End Date to a Corrections history item that was created by another ABE program.
- From the Students tab, choose the name of the desired student. Go to the History tab.
- Find the most recent Program-NRS > Corrections history item with a blank End Date. Click the history row to select it.
- On the Edit screen, type the appropriate End Date following these guidelines:
(a) the date the student was released from the correctional facility into the community
OR
(b) when the last correctional hours were earned in the current NRS year, type the day before the student started in your non-corrections program
OR
(c) when the last correctional hours were NOT earned in the current NRS year, type 6/30 of the prior program year. - Click the Save button
