This report will display a list of students with attendance hours and their history items during specified date ranges. The Student History Items report is located on the Reports tab, in the Data Cleanup Reports section.
There are many student history items (especially goals)
with similar names. See History Items with Similar Names
below for how to deal with these.
When you select the Student History Report, you will see a screen with many options to help filter to the results you want. Here are some important filter highlights.
Report Date Range (Start)/(End) - dates default to the current NRS Program year. (See the orange box in Figure 1.) Results show students with attendance hours between these dates. Adjust the Start/End dates to see students who were active in a different time frame.
Figure 1 shows all students with attendance hours between 7/1/18 and 6/20/19 - the 18-19 NRS Program year.
History Item Effective Date Range (Start)/(End) - The default is set to 1/1/2008 through the last day of the current NRS Program year. Use these date fields to find all history items with effective dates (items that were active) between the dates you select.
The Effective Date Range in Fig. 1 (blue box) shows ALL history row items dated between 1/1/2008 and 6/30/2019. You can adjust the Effective Date Range (Start) date to show only more recent history items.
Example 1: You want to see only history items with Effective Dates in the 17-18 NRS Program year. Change the History Items Effective Date (Start) to 7/1/2017, and set the History Item Effective Date (End) to 6/30/2018.
Example 2: You want to see students with history items active in 17-18 or 18-19. Set the History Items Effective Date (Start) to 7/1/2017, and set the History Item Effective Date (End) to 6/30/2019.
History Item Status - Narrow down results to only history items that have the selected status. See Fig. 2
Example 1: You want to find only students who MET a goal in the History Items Effective Date range. After setting the date range, select MET from the History Item Status menu.
Example 2: You're looking for history rows that show history items that were SET OR MET during the History Items Effective Date Range. Select All Statuses from the History Item Status menu.
Sort By - This filter affects how items are displayed in the report.
- Sort by History Group, Person to arrange results by History Group first, then History Item, then student.
- Sort by Person, History Group to arrange results by Student first, followed by History Group and History Item.
History Items with Similar Names
On 7/1/16, former MARCS and MABE ABE databases were merged into the new SiD database. During the merge, several similarly worded history items, particularly goals, were imported.
History items continue to become more streamlined and unified. Be aware that older student history may not be collected in the same history group now as they were in the past. For example, did your program track “Obtain a GED” under the History Group “NRS Primary Goal” or as “Personal Goal?” If you are unsure, you may want to run the report for both History Group types.
