Report: Student History Items

The Student History Items report is located on the Reports tab, in the Data Cleanup Reports section.

This report will create a list of students who were active (enrolled in a class) within a specified date range and will display all of their history items. **Note: there are many history items (especially goals) with similar names...see disclaimer below for how to deal with these.

The History Items can be filtered by Effective Date Range, History Group, History Item and Status.

When you first click the Student History Report you will see a screen with many options. The "Students Active Between (Start)/(End)" will select all students who were enrolled in a class between those dates. (See orange box in first image.) Dates default to today, showing students who are active today. Adjust active dates if you want students who were active in a different time frame. 

The next set of dates (blue box in image below) allows you to set the date range of the History Items that will be displayed in the report. Use these fields to find all History Items with Effective Dates that fall between the dates you select. The default is set to show 1/1/2008 to today's date. 

The default is also set to find all "History Groups", "History Items" and "History Status" (set/met).  You can adjust those accordingly.

The example above will show all students enrolled on 2/6/2017 (those who have an active class on their schedule on that date), and will display all of their history row items dated between 1/1/2008 - 2/6/2017.  

The title of the report includes the Active date range you selected. The History Items subtitle shows the Effective Date range you selected.

 

The next report sample was run for students who are currently active (on 2/6/2017), but with the History Item Effective Dates range changed to 9/6/16 or later. 

Another example: Find students who MET the "Personal Goal" of "Obtain a GED" during the 16-17 program year no matter when they were enrolled (maybe they were a student a few years ago, then finished the test in December of 2016). **Note: there are many history items (especially goals) with similar names...see disclaimer below for how to deal with these.

  1. Set the Students Active Between dates as a wide range (9/1/2008 - today).
  2. Set the History Item Effective Date Range between 7/1/2016 and today.
  3. Set the History Group "Personal Goal"
  4. Select the History Item "Obtain GED."
  5. From the History Status menu, choose "met."
  6. Click the View Report button.

Your results show students who were active at any time, and met the "Obtain GED" goal between 7/1/16 and today. 

 

**Notes on Goals with similar names

Due to historical usage of Goals in Marcs/MABE and SiD, there are several similarly worded history items, particularly goals. If you want to run a search for these goals be sure to find the ones your program used (for example did you track “Obtain a GED” under the History Group “NRS Primary Goal” or as  “Personal Goal”), if you are unsure, you may want to run the report for both History Group types.
